EXECUTIVE ADMINISTRATOR
Description
The Executive Administrator is a full‐time Extra Help position in the Office of County Supervisor Otto Lee. This position provides comprehensive administrative, scheduling, and logistical support. This role serves as a key liaison between the Supervisor, constituents, public officials, internal departments, and external organizations. The ideal candidate is proactive, discreet, and thrives in a dynamic, public‐facing political environment. The Executive Administrator is an at will position reporting to the Chief of Staff.
Duties and Responsibilities
Scheduling — Manage and maintain the Supervisor’s schedule; process and respond to all invitation and meeting requests; coordinate travel arrangements.
Office Management — Process and track invoices and reimbursements; maintain gift list and conflict of interest forms; manage incoming mail; draft correspondence; order office supplies; process room reservation requests and meeting setup; screen and direct calls, emails and inquiries to appropriate parties; other administrative support duties as needed.
Community Outreach — provide staff support to the Supervisor at meetings and events; assist with County board and commission recruitment; coordinate and attend stakeholder meetings on behalf of the Supervisor; and develop positive working relationships with community members and department leaders.
Constituent Services and Casework Management — respond to constituents seeking help, including providing information and facilitating communication with County departments and agencies.
Desired Skills and Qualifications
∙ 3‐5 years of experience in executive or public sector administrative role
∙ Excellent oral, written, and interpersonal skills
∙ Organizational proficiency, including the ability to prioritize, handle multiple tasks
simultaneously, and meet deadlines.
∙ Accounting skills for working with travel reimbursements and discretionary funds.
∙ Proficiency with Microsoft Office Suite and Google Docs Suite platforms.
∙ Ability to work independently and as a member of a diverse team.
Preferred Attributes
∙ Knowledge of local government operations and community issues.
∙ Flexibility to attend evening and weekend events as needed.
∙ Bilingual proficiency in Chinese, Spanish or Vietnamese
Employer
The County of Santa Clara government serves approximately 1.9 million residents. The Board of Supervisors consists of five members who are elected to four-year terms. Each supervisor represents a geographic district. Elected in November 2020, Supervisor Lee represents the Third District, which includes Alviso, Sunnyvale, Milpitas, and neighborhoods in North San José. Compensation
The pay rate for this position will be $40‐$50 per hour depending on experience. Extra Help
employees are not eligible for benefits.
The position may be converted to a fully‐coded employee with full benefits.
